As a Personal Assistant, you'll play an important role in managing the personal schedule of an assigned client, ensuring that their day-to-day operations run smoothly, efficiently, and without any issues. Your skills in organization, communication, and management will be key to seamlessly handling both personal and professional responsibilities, ensuring efficiency and impact in every task.

This role requires a deep understanding of personal management, a high degree of discretion, and the ability to act as a true collaborator in their personal lifewhether it's managing schedules, handling personal errands, or organizing family logistics.

Accountability

Your success as a Personal Assistant will be measured by your ability to ensure your client's personal and family-related tasks run seamlessly, supporting them in achieving balance and reducing day-to-day stress. Here's how you'll make an impact:

Personal Calendar & Scheduling Management

  • Maintain and optimize your client's personal calendar, prioritizing meetings, events and appointments to ensure smooth operations.
  • Coordinate family-related appointments and commitments, ensuring everyone's schedules align.
  • Book and coordinate travel arrangements, from flights and accommodations to transport, ensuring all logistics are accounted for.

Correspondence & Communication

  • Manage your client's personal correspondence, including emails, phone calls, and social interactions, ensuring timely responses and smooth communication.
  • Act as a liaison between your client and their personal network (family, caregivers, etc.), facilitating clear and consistent communication.

Personal Tasks

  • Assist with managing personal errands, including shopping, making purchases, and organizing family-related logistics.
  • Handle special projects, such as gift planning, event coordination, or family celebrations.
  • Proactively anticipate needs, ensuring your client's personal life runs smoothly with minimal involvement.
  • Coordinate with caregivers or family members, ensuring the client's family-related needs are managed with attention and care.
Colleagues

Your primary stakeholder will be your client, working directly with them to ensure their personal affairs are handled with precision and care. You'll also work with their family members, caregivers, and other personal assistants as needed to ensure the best possible coordination.

At Oceans, you'll also receive guidance and support from your Operations Manager, who will help you succeed in the role and ensure that you're continuously growing and developing in your career.

Skills and Qualifications

As a Personal Assistant, your vertical focus will be on personal management, organization, and effective communication, ensuring smooth day-to-day operations for your client. Your horizontal focus will span anticipating needs, fostering relationships, and balancing your client's personal requirements with practical execution.

To excel in this role, you should have:

  • Language Skills : Professional fluency in English, with excellent reading, writing, and speaking abilities.
  • Experience : At least 5 years in a communication-heavy role at a reputable firm, demonstrating strong interpersonal and organizational skills.
  • Education : An undergraduate degree is preferred, though relevant work experience is also valued. Certifications such as an MBA, CFA, CIM, CIPM, or CIMA will be considered as an added advantage

Role Specifications

This is a remote role, where you will be expected to work a split shift with some overlap with our client's time zone. You will, however, be expected to be present for in-person training programs during your first 90 days with us.
